Why are your digital assets holding back performance despite a DAM?

At this client, approximately 100 contributors were responsible for making media available to around 2,000 potential end users spread across the globe.

Despite the implementation of a DAM platform, an audit conducted by the client identified the following issues:

  • Content production that was too time-consuming and of poor quality.
  • Delays in time-to-market.
  • High costs associated with errors and unused content.
  • Inconsistent brand image.

These issues directly impacted business performance and demonstrated that simply implementing the DAM was not enough: it was still necessary to define what should be entered into the system and how, in order to ensure the right response to the needs of both human end-users and systems.

What are the 5 fundamental pillars of the “Perfect Media” methodology?

Adone Conseil was engaged based on this audit and proposed applying its “Perfect Media” methodology in response.

The strength of this methodology lies in its holistic and collaborative approach. It is structured around five dimensions that ensure the quality, usability, and compliance of media assets:

  • Technical specifications: formats, resolutions, file sizes, color profiles tailored to end uses, etc.
  • Functional specifications: framing, angles of view, composition, and staging aligned with the art direction briefs, etc.
  • Intellectual property rights: traceability of rights (photographer, model, music, territories, durations, authorized uses).
  • Metadata and classification: standardized taxonomy tailored to DAM, PIM, and other business needs.
  • Naming convention: structured nomenclature facilitating the identification and automated integration of files distributed by the DAM.

How to implement effective DAM governance and what deliverables to expect?

The methodology was rolled out through co-creation workshops led by Adone Conseil consultants, bringing together all stakeholders: digital and marketing project managers, in-house photographers, external studios, content creators, rights buyers, etc.

Generally speaking, through 2 to 3 workshops per identified functional area (e-commerce, social media, PR, heritage, etc.) spread over 2 months, we:

  • Identified a comprehensive list of media types (product shots, looks, videos, social media content, etc.) and artistic direction briefs.
  • Mapped the stakeholders and rules for standard workflows: creation → description → publication → expiration.
  • Defined the criteria for “perfect media” based on the 5 pillars.
  • Established RACI matrices, specifying roles in the lifecycle of each “perfect media” asset.

The list of final deliverables included:

  • A complete definition of approximately ten “perfect media” assets.
  • A detailed mapping of target processes.
  • A RACI matrix per media type.
